Operations Coordinator – c£25k – £30k – Egham, Surrey

Established over 30 years and with offices strategically located in the South, this company provides full building services and installations throughout the South East to the building industry.
Job Purpose
Ownership and full support of allocated projects through collaboration with the client, project delivery team and supply chain as appropriate. Support the Regional Manager to ensure the smooth running of the office facilities. Furthermore, safeguard the Company’s long-term strength and growth, whilst working smartly and caring for your teams.
Duties and Responsibilities
Provide high quality administrative support services, including scanning, photocopying, filing, folder creation
Handling enquiries and directing incoming calls to the appropriate department
Meeting and greeting clients and visitors professionally
Collate and distribute reports from engineers and submit to internal and external stakeholders where appropriate
Create and maintain project documentation and reports using in-house management system
Attendance at meetings, including preparation of paperwork and minute taking
Assist with administration and production of O&M manuals
Transfer data into site labour tracker
Chase and distribute design reports ahead of design team meetings
Organise relevant meetings on behalf of project team, ensuring refreshments are provided when necessary
Provide pre-construction, construction and commissioning programme support
Update and maintain in-house management system forms
Maintain portfolio of the live projects (photos and write ups)
Diary management for the Regional Manager
Responsible for the day-to-day running of the regional office
Management of building cleaning, as appropriate
Arrange and manage building maintenance and PAT testing, as appropriate
Stock check and ordering of company supplies: tea, coffee, stationery etc
Handle post in and post out
Liaise with head office to ensure accreditation, subscriptions and pre-qualification documents are kept up to date
Essential Skills / Qualifications
Excellent communication skills, including written, verbal and non-verbal
Attention to detail
Competent with Microsoft Office (Word, Excel, Outlook)
Be able to work to deadlines and meet targeted timeframes
Outstanding ability to multitask with a positive “can do” attitude
Excellent time management skills with the ability to use your own initiative
Friendly, approachable and reliable
Strong organisational skills
Ability to identify potential risks to projects and the company
